Quick Tip! Naming and Sending Documents
When you send a document via email to another person or company, what can you do to make the title of the document more useful to the recipient? An unfortunate common approach I see is that if someone is doing a proposal or letter or some other such document for XYZ company, they may simply name the document "XYZ", or maybe "XYZ Letter". This may be perfectly descriptive to the sender, as they are only creating one document for XYZ. However, when XYZ gets the document, it may now be one of many documents they have received from various sources titled "XYZ". Not very useful.
When we send proposals or other documents, we always include our name, the recipient's company name, and something that indicates what it is, such as "Koa_XYZ_Proposal". Makes it easier for me to find the document, and easier for the recipient!
I have also gotten into the habit of using underscores "_" in place of spaces. This is in case the document is posted to an FTP site or other web-type server that doesn't like file names with spaces (ever download a PDF with lot's of "%20" in the doc title? That's what a web server does when it encounters a space).
A little thought to naming your docs will make them easier for your clients, vendors and associates to find. That can result in more sales, or at least more efficient use of everyone's time!
